Williams Collection Cataloging and Digitization

Workflows (in priority order)

Each group will be completed before proceeding on the next group. 

GROUP ONE -- Out of copyright, not held at OSU (approx. 375 books)
1. Archives students gather these books on carts and wheel into Sue Kunda's former work area.
2. Catalogers (Diane, Linda, Laura) copy catalog and double check copyright.
2a. Add 590 note: Gerald W. Williams Collection.
2b. Take gift stats
2c. Add item record: loc: tgeg; status: "f" (Digitizing); itype: 99
2d. Affix call number label, title label? and barcode to archival envelope and insert envelope into book
3. Student scanners debind books, insert pages into envelopes and prep for scanning
4. Student scanners scan books and copy bibliographic data into items within ScholarsArchive Electronic Monographs collection. (data dictionary to be created by Metadata Working Group)
5. Linda, Laura, Patti and Ian? publish to the web, add handle URL to OASIS and Worldcat, and add ngen item record to record in OASIS.
6. Student processes books for Storage, changing "f" status to "o."
7. ULLIA takes books to Storage.
8. Laura runs lists in OASIS of Williams books ensuring that all status codes have been changed from "f" to "o" and have the correct locations and itypes.

GROUP TWO -- Out of copyright, held at OSU (approx. 478 books)
1. Archives students gather these books on carts and wheel into Sue Kunda's former work area.
2. Catalogers (Diane, Linda, Laura) add to existing bib records and double check copyright.
2a. Add 590 note: Gerald W. Williams Collection (digital copy).
2b. Add ngen item record.
3. Student scanners debind books and prep for scanning
4. Student scanners scan books and copy bibliographic data into items within ScholarsArchive Electronic Monographs collection. (data dictionary to be created by Metadata Working Group)
5. Linda, Laura, Patti and Ian? publish to the web, add handle URL to OASIS and Worldcat, and add ngen item record to record in OASIS.

GROUP THREE -- Under copyright, not held at OSU (approx. 811 books)
1. Archives students gather these books on carts and wheel into Sue Kunda's former work area..
2. Catalogers (Diane, Linda, Laura) copy catalog.
2a. Add 590 note: Gerald W. Williams Collection.
2b. Take gift stats
2c. Add item record: loc: vge; status: -; itype: 10
4. Processing students complete processing.

GROUP FOUR -- Under copyright, held at OSU (approx. 1782 books)
1. Recheck catalog.
2. If indeed held at OSU, find home/sell
3. If not held at OSU, see "Group 3" above

Questions?

  1. Will the inventory spreadsheets or the printed inventories contain enough information for archives or digital access services students to sort the collection into the four groups? Probably. Sara Mintonye will be responsible for gathering the materials.
  2. Do we want to check to see whether items have already been digitized or are otherwise in process as part of the cataloging process? Or, do we make this another step in the process? (Terry) Yes. It is expected that many of the USFS documents will have already been digitized.
  3. How much time will staff be able to devote to this? What other work can be put on hold? (Terry - Linda, Laura, Sue; Richard - Diane, Debbie C., Alice; Michael - Patti, Ian)
  4. Are these all monographs or are there some serials? If some serials, involve Melissa and Xiaoping. There are some serials. We will look at these after the monographs are completed.
  5. What ScholarsArchive community/collection should these go in? (Metadata Working Group) See MWG meeting minutes
  6. How to indicate in SA records that these are from Williams collection: description, series, other? (Metadata Working Group) See MWG meeting minutes
