New Employee Orientation -- Digital Access Services

Prior to First Day (Supervisor)

  • Prepare office, desk, chair, filing cabinets, and other furniture.
  • Send information about campus parking and area transit to new employee: http://oregonstate.edu/facilities/transit_pkg/permit_pkg.html and http://www.ci.corvallis.or.us/index.php?option=content&task=view&id=470&Itemid=413.
  • Let new employee know when their email has been activated.
  • Stock office area with basic supplies (notebooks, scotch tape, masking tape, stapler, staples, scissors, pens, pencils, magic markers, highlighter, CDRs, envelopes, folders,...)
  • Place computer order with Matthew Gonzalez: standard PC setup or laptop with docking station.
  • Setup email and CN account with Community Network. Notify CN of start date.
  • Make sure new employee is a member of appropriate library and university email groups (Valley Building, Library All Staff, Library Faculty, Library Digital Access Services, Library Digital Access Serv Council, Library Digital Production Unit (as appropriate), Library Monographs (as appropriate), Library Serials (as appropriate), Library  EResources (as appropriate), Library Serials Acquisitions (as appropriate), INFORM
  • Review OSU new employee orientation for supervisors -- http://oregonstate.edu/admin/hr/dev/orient/.
  • Arrange for setup of accounts with appropriate administrators: wiki, CONTENTdm (as appropriate), III Millennium, OCLC, Z:/ (as appropriate), Drupal

First Day (Supervisor)

  • Send welcome message to Library All Staff welcoming the new employee.
  • Provide phone training: how to forward calls, get and respond to messages, create personal greetings, record messages, access from off-site.
  • Tour Digital Access Services department and make introductions.
  • Send new employee an email that includes links to Digital Access Services wiki, OSU new employee orientation website, library strategic plan. Ask that new employee review this information over the next week or so. Ask that new employee read some of the Digital Access Services quarterly reports and the department summary on the wiki to familiarize him/herself with the department.
  • Arrange for Community Network staff person to give orientation of CN login/password, email (home and work), calendar, shared directories, MyCN, access to work PC from home (if no laptop docking station). Review these things with new employee to ensure that new employee understands everything. Allow plenty of time to learn how Outlook and Calendar works and explain library expectations for using Calendar.
  • Show new employee how to print to network printers.
  • Go to lunch with new employee and invite other staff with whom new employee will work.
  • Quick tour of library. Introduce to AUL and UL. Show where different departments are located, especially HR. Explain to new employee that you'll give them a more extended tour and introduce them to everyone later in the week.
  • Arrange meeting time with HR for benefits orientation and to get building keys.
  • Order new library building ID from building manager.

First Week (Supervisor)

  • Arrange meeting with University Librarian.
  • Arrange meeting with Associate University Librarian for Collections and Content Management.
  • Arrange meeting with department head.
  • Meet with new employee. Review position description, expectations, department and unit goals, library overview, library culture.
  • Tour of library and introductions to all staff.
  • Arrange with Head of RCIS for new employee to attend an RCIS meeting. Introduce there or ask RCIS department head to introduce if you won't be attending.
  • Arrange to meet with III system administrator to discuss OASIS, III problem resolution protocol.
  • Show how to access and use shared and personal network directories.
  • Show how to access and use OCLC.
  • Identify any additional training needs and arrange for more thorough training either internal or external.
  • Arrange meeting with HR for benefits orientation.
  • Show where to get university ID.
  • Provide instruction on creating faculty web page using Drupal (not yet available). Ask that new employee create his/her staff web page (not yet available).
  • Show Inside OSU: http://oregonstate.edu/admin/hr/dev/orient/. Ask that new employee read this.
  • Give new employee some work to do.
  • Invite to weekly meetings with supervisor using Calendar.
  • Invite to unit and work group meetings using Calendar.
  • Invite to LFA, Research and Writing Group, and LFA Seminar Series using Calendar.
  • Invite to department meetings using Calendar. (department head)
  • Invite to monthly meetings with department head to talk about P&T. (department head)

2nd and 3rd Week (New Employee)

  • Meet with individual staff with whom you will work.
  • Meet with University Librarian.
  • Meet with Associate University Librarian for Collections and Content Management.
  • Meet with department head: review position description, expectations of the position, department goals, unit goals.
  • Meet monthly with department head.
  • Meet weekly with supervisor.
  • OSU Core Curriculum four day management training.
  • Meet with bindery/repairs specialist to discuss binding, book repairs and preservation.
  • Attend Serials Cataloging Unit meeting.
  • Attend Monographs meeting.
  • Attend Serials Acquisitions Unit meeting.
  • Meet with other unit heads to get an overview of the work that happens in those units and their relation to your work.
  • Attend Digital Access Services Council meetings.
  • Attend Digital Production Unit meeting.
  • Attend a Monographs meeting.
  • Meet with other department heads to learn about their departments and relationships with your work:
    • Head of Research Consulting and Innovative Services
    • Head of Undergraduate Learning and Library Information Access
    • Head of Guin Library (may wish to visit Guin)
    • Head of University Archives
    • Head of Special Collections
    • Head of Emerging Technologies and Services
    • Head of Collection Development

Longer term (New Employee)

  • For tenure-track employee, plan to attend meeting with reps of the Promotion and Tenure Committee.
  • Arrange meeting with University Librarian after 6 months.

Checklists:

  • By the end of week one, the new employee should have:
    • Meetings arranged with UL, AUL, department head
    • Met with supervisor
    • Understanding of expectations of the position
    • Read the Libraries' Strategic Plan
    • Read Digital Access Services Department summary and some of the department's quarterly reports
    • Been given a tour of the department and library and introduced to most staff.
    • Met with HR about benefits
    • Have building keys, university and library IDs
    • Been introduced at unit, department, work group, and library meetings as appropriate
    • Met with III system admin about OASIS and OCLC authorizations
    • Reviewed department organization chart
  • By the end of week four, the new employee should have:
    • Met with UL, AUL, department head
    • Met with all Digital Access Services unit heads and library department heads
    • Been given a quick tour of campus, including Kerr, Dixon, MU (post office, restaurants, bookstore), Agriculture Library, Weatherford, Fairbanks, Theater
    • Met with staff with whom new employee will work
    • Identified additional training needs
    • Identified additional supply needs
    • Identified additional computer needs
