EResource Cataloging Meeting Notes

Existing workflows for cataloging eresources are listed below followed by possible alternative workflows, questions and decisions made by the group.
Assumption:
1. All eresources to which we subscribe/license should be cataloged in the local catalog and holdings attached in WorldCat (with some exceptions based on collection decisions such as Business Source Premier, LexisNexis, possibly others)
Ejournals (Serials Solutions)
Cataloging workflow (current):
- select titles in Serials Solutions (Ian)
- WorldCat holdings are automatically updated by Serials Solutions
- load records/holdings to local catalog (Rod)
- if aggregator (i.e. Ebsco or Gale), done
if not aggregator, run list of new titles and copy catalog those titles in WC (Marisa)
Problems:
-For titles that are not fully cataloged in local catalog (brief ebsco/gale titles), holdings are established in WC through the automatic Serials Solutions process but there is no corresponding record in the local catalog with an OCLC number. This means that a patron retrieving one of these titles in WC (.org or Summit or in the future WCL) will not be directed to a record within our catalog from the WC check availability for this item link. (In my opinion, this is not a big deal. The link that most people will use from within WC is the far more prominently displayed Find It @ Your Library link. This link uses our link resolver to successfully display holdings and links.

-COCC has to add holdings and links for their ejournals to the local catalog manually. I don't think they do so currently.
Alternative workflow:
Purchase Serials Solutions group MARC records for ejournals. This would mean separate records for print and e in the catalog. Single e record with both COCC and OSU links.
Decision: Current ejournal cataloging workflow works well for us. Leave it as it is. WC problem isn't worth paying SS for ejournal cataloging. I haven't heard directly from COCC that they want the group option.
Ebook packages
Cataloging workflow (current): Catalog each package individually (although each package is different).
Alternative workflow:
1. select packages in Serials Solutions (all but individually selected titles like EBL) (Ian)
2. load full MARC records (with OCLC #'s) from Serials Solutions to catalog (Richard)
Decision: The alternative workflow should be further investigated with Serials Solutions.
Actions: Michael will follow-up with Serials Solutions and ask the following questions:
1. In the alternative scenarios for ebooks, how do we ensure that there are no duplicate ebook records for titles that we've already cataloged (NetLibrary, etc.), titles that we select individually (EBL) and the titles available from packages that we get cataloging from Serials Solutions. Would it be possible to overlay the Serials Solutions ebook records onto existing ebook records and only ebook records?
2. Can Serials Solutions provide only ebook records and not ejournal records even if ebooks are a part of a larger package that includes both ejournals and ebooks (e.g. Gale Agriculture Collection)?
3. Can Serials Solutions update holdings in WC for ebooks like they do ejournals?
4. What is the timeframe between new ebooks becoming available from a publisher and the ebooks being represented in the Client Center?
5. Is the link from the MARC record to the client center or direct to the ebook?
Ebooks individually selected (EBL, Kindle)
Cataloging workflow (current and future):
1. Catalog each title with a brief record from Blackwell upon order (Alice)
2. Receive records later (much) from OCLC Cataloging Partners Program and load to catalog (Richard)
Actions: Richard will investigate the following questions:
1. Currently we are not receiving records from OCLC in a timely way. Presumably, the OCLC Cataloging Partners Program will eventually be able to provide full records within a month of purchase. Until then, how much time would it take to provide full cataloging for these titles and who would do it? (Richard)
2. Can we acquire records for the Kindle purchases from OCLC Cataloging Partners Program?
Ebooks - fluid (Safari)
Cataloging workflow:
1. Delete and load brief records from provider on a monthly basis. (Richard)
Ebooks - catalog and purchase (we have not yet done anything like this)
These are ebook packages that we load to the catalog but do not acquire individual ebooks until they are used a certain number of times.
Cataloging workflow:
1. Load all catalog records to catalog. (Richard)
2. Upon activation of a title, provider notifies and bills library.
3. Load records from OCLC Cataloging Partners Program or individually for ebooks that have been activated (Richard or Alice?)
